Local chapter update: Developing a registration process for chapter events

Local chapter leaders need to establish a method for registration, particularly for full-day events or for events with an associated cost or food and beverage component. This may be a simple email, leveraging the online membership roster, or employing free, web-based survey platform such as SurveyMonkey.

The team should identify an individual to manage and monitor registration and to report back to the leadership team during its regular planning meetings. Should registration numbers seem to stagnate and/or be worryingly low, reach out to ACDIS national for help in getting the word out. The national administrative team can add details to the website and make announcements regarding your event on its social media streams as available.

During the day of the live event, be sure to identify two to four volunteers to manage the registration desk. There should always be two volunteers at registration at all times—one to greet the attendee and hand him/her any materials and the other to look up the name and hand him/her their badge. If four volunteers are available, rotate teams of two every hour throughout the morning portion of the event. Toward the end of the event, all four volunteers should be on-hand to distribute CEU certificates to the attendees. Consider handing out the certificates to the participants following the question and answer period of the final session.

At the end of the day, if feasible, plan to have a recap gathering with the leadership team at a local restaurant. This will allow everyone to celebrate the events of the day while talking through any perceived obstacles that may have arisen during the meeting.

Within the next few days, definitely within a week or so after the session, send an email to the speakers thanking them again for their participation. Leaders may also wish to send a follow up survey or letter to attendees asking them for feedback and encouraging their participation either as speakers or leadership volunteers.

It’s true there’s a ton of work that goes into planning a full-day event but the end result is well worth it.
