Local chapter update: Using the online membership roster

CDI Strategies - Volume 14, Issue 5

According to the ACDIS Local Chapter Agreement Form, chapter leadership needs to ask members to complete the online membership roster on a quarterly basis. This is the official roster which allows leaders to collect important information including whether the local chapter member is:

  • An ACDIS member
  • Interested in speaking at a local event (and the topic)
  • Available to host an event at their facility
  • Interested in volunteering to help leadership

Often the biggest challenge for leaders is identifying speakers, hosts, and new leadership. This online roster helps answer those challenges.

Upon competition of the online membership roster, registrants receive a unique discount code for national membership and information on how to redeem that discount.

The leadership team may choose to use the online membership roster as a sign-in sheet for meetings. They can do so by designating a set of volunteers to the registration table and providing a laptop, open to the roster, for attendees to complete.

The online membership roster can also be used as a registration tool. Simply include the link to the roster in any promotional materials or emails to members instructing them that in order to register to attend the upcoming event they need to complete the roster by the end of business on the deadline day. Then, ask ACDIS national to pull the roster and sort by the applicable date range (from the initial date of your meeting announcement to the deadline date).

Over the years, local chapter leaders have also availed themselves of internet technology to capture registration and attendance information such as Google Sheets, Google Drive, Square, EventBright, and other methods. Those interested in these alternatives should conduct thorough research on the pros and cons, reach out to other chapter leaders regarding its use, and communicate to ACDIS national regarding the transition of passwords and processes associated with these online tools. Any alternative rosters or membership lists must be shared with ACDIS national on a quarterly basis.

A note of caution, any handwritten information will need to be later transferred to a spreadsheet or other list by a member of the leadership team. Illegible penmanship may result in inaccurate information. Working outside the ACDIS-approved online membership roster may also mean additional work for one of your volunteer leadership team members as such a list will need to be maintained and regularly updated as participants change jobs or contact information. Using the ACDIS-approved online membership roster puts the responsibility on the chapter members (and not on the volunteer leadership team) to update their information regularly.

Local chapter leaders can request their roster at any time from national by simply emailing Melissa Varnavas, mvarnavas@acdis.org, and Carolyn Riel, criel@acdis.org. Turnaround time is typically 24-48 hours.

The following is a list of upcoming events for ACDIS local chapters. If you have an upcoming event you would like to include, please email Melissa Varnavas (mvarnavas@acdis.org) and Carolyn Riel (criel@acdis.org).
